In the Profile Menu, all submenus within the Profile section include interactive features. These interactive features are designed to enable data search, data validation, and data transactions.
1. Guest Profile #
The Guest Profile menu helps hotel staff manage guest information, including:
- Add New Guest
- Add guest data by completing mandatory fields: First Name, Last Name, Insert ID, Email, Mobile Phone.
- Other fields are optional.
- Additional notes can be added in the Note section; the system automatically records the date and user name.
- Click Save to save the data.
- Guest Details
- View complete guest information, including personal details, stay history, preferences, and documents.
- Features:
- Main: View guest profile.
- Reservation/Folio: Booking and service history.
- Document: Add/view guest documents (ID, Passport, etc.).
- Security Audit: View change logs for guest data.
- Edit Guest Profile
- Click Edit to update guest profile data and documents.
- Stay History
- Access via Reservation/Folio to view check-in/out details, room assignments, and additional services used.
2. Company Profile #
The Company Profile menu manages data for companies partnering with the hotel for business or events. Key features include:
- Add New Company
- Enter mandatory fields: Name, Company Grouping, Staff.
- Other fields are optional and can be adjusted based on company needs.
- Click Save Change to save the data.
- Company Details
- View detailed information such as company name, address, contact details, email, and partnership type.
- Submenus include:
- Other: Manage commission settings (Commission Rate, Pay Commission, Charge Back, Surcharge Opt-Out, Interface Commission, Comm Payable, Comm Code, Remarks).
- Department: Manage departments or divisions linked to the company.
- Contact Person: Details of company representatives or employees.
- Guest: View guests associated with the company.
- Activity: Record communication, appointments, or operational activities.
- Contract Rate: Manage agreed contract rates between the hotel and company.
- Reservation/Folio: View reservation history tied to the company.
- AR Transaction: Manage accounts receivable, such as unpaid invoices.
- Document: Store and manage company-related documents.
- Statistic: Display booking analysis, revenue, or other metrics.
- Billing Setup: Configure invoices, payment methods, and billing schedules.
- Security Audit: View logs of changes made to company data.
- Edit Company Profile
- Update company details and documents. Accessible via the Edit option.
3. Merge Profile #
Merge Profile is a feature used to combine guest profiles, enabling updates for duplicate records or the latest guest information.
This menu includes checkboxes in each row of the guest profile data, allowing users to select which guest profiles to merge. The selected data will automatically link based on the Name and Card Number.
