Reservation FIT – Check In #
This page displays a list of guest reservations, including room details, guest information, and reservation statuses.
Features for Managing Reservations #
At the top of the page, you will find action buttons to manage reservations and guest details:
- New FIT: Create a new reservation for Free Independent Travelers.
- Assign Room: Allocate a room to a guest.
- Un Assign Room: Remove the assigned room from a reservation.
- Cancel Reservation: Cancel an existing reservation.
- Copy Reservation: Duplicate an existing reservation to create a similar one quickly.
- Move Reservation: Change the room or reschedule the reservation to different dates.
- Add Message: Attach a message to a specific reservation or guest.
- View Message: View messages associated with a reservation or guest.
- Add Remark: Add notes or remarks to a reservation.
- View Remark: View remarks already added to a reservation.
Searching for Reservations #
To search for specific reservations:
- Use the filters provided at the top of the page:
- Stay Dates: Specify the desired stay period.
- Start Date: Enter the check-in date (format: MM/DD/YYYY).
- End Date: Enter the check-out date (format: MM/DD/YYYY).
- Status Folio: Choose reservation statuses like Open or Closed.
- Click the Search button to display results.
- If no filter is applied, the system will show the message “Please Click Search To Find The Data.”
Reservation Table Details #
The main table displays reservation data with the following columns:
- TYPE: Indicates the type of guest, such as “FIT”.
- MSG: Shows if there are messages associated with the reservation (red “X” means no messages).
- IGN: Displays any special instructions for the guest.
- DND: Indicates “Do Not Disturb” status (red “X” means active DND).
- REMARK: Shows remarks or notes on the reservation.
- STATUS: The status of the reservation, e.g., “RESERVATION” for active bookings.
- FOLIO NO.: A unique reservation document number (e.g., “F99924110001”).
- GUEST NAME: Name of the guest making the reservation.
- GUEST: Type of guest, such as “Normal”.
- STAY: Duration of the stay in days.
- ROOM: The room number assigned to the guest.
- ROOM NEXT: Indicates the next room if the guest is moving rooms.
- GROUP NAME/COMPANY: Name of the guest’s group or company, e.g., “Badan Informasi Geospasial”.
- ROOM TYPE: Type of room booked, e.g., “DLT”.
- ROOM STATUS: Status of the room, e.g., “Vacant” for available rooms.
- CLEAN STATUS: Indicates room cleanliness, e.g., “Clean”.
- CHECK-IN: Guest’s check-in date.
- CHECK-OUT: Guest’s check-out date.
- BALANCE: Remaining balance for the reservation.
- SHARER: Number of people sharing the room.
- A & C (Adult & Children): Number of adults and children staying in the room.
Context Menu Actions #
Click the three-line icon on the left of a reservation row to open a menu with the following options:
- NEW FIT: Create a new reservation.
- EDIT: Modify an existing reservation.
- ASSIGN ROOM: Assign a room to a guest.
- UN ASSIGN ROOM: Remove the room assignment.
- CANCEL RESERVATION: Cancel the reservation.
- COPY RESERVATION: Duplicate the reservation.
- MOVE RESERVATION: Change the reservation’s date or room.
- ADD MESSAGE: Attach a message to the reservation.
- VIEW MESSAGE: View attached messages.
- ADD REMARK: Add remarks or notes to the reservation.
- VIEW REMARK: View existing remarks.
Creating a New Reservation #
To add a new reservation:
- Click New FIT to open the reservation form.
- Fill in the following details:
Guest Profile: #
- Guest Search: Search for an existing guest by name.
- Company Search: Search for a company associated with the guest.
- Type: Select the guest type, e.g., “Normal”.
- Title: Choose the guest’s title (e.g., Mr., Ms., Dr.).
- First Name and Last Name: Enter the guest’s full name.
- Phone: Enter the guest’s phone number.
- Email: Add the guest’s email address.
- Company: Name of the guest’s company (if applicable).
- Status Guest: Specify the guest’s status, e.g., “Normal”.
- Remark: Add any notes or remarks about the guest.
Payment and Special Status Options: #
- Pending: Mark the reservation as pending.
- Cash on Arrival: Indicate cash payment upon check-in.
- Guaranteed: Mark the reservation as guaranteed.
- Print Rate: Print the room rate on reservation details.
- Use Allotment: Assign the room from an existing allotment.
- Incognito: Keep the guest’s reservation private.
Reservation Details: #
- Check-In/Check-Out: Set the check-in and check-out dates.
- ETA/ETD: Specify the estimated arrival and departure times.
- Night: Enter the number of nights for the stay.
- Adult/Child: Indicate the number of adults and children.
- Extra Bed: Specify additional beds if required.
- Rate Code: Enter the room rate code.
- Room Type: Select the desired room type.
- Room: Choose the room number.
- Room Configuration: Set up the room configuration.
- Auto Assign: Enable automatic room assignment if needed.
Price Section: #
Displays nightly rates based on the selected room and dates.
Other Details: #
- Booking Agent: Enter or search for the agent managing the booking.
- Contact Person: Add the contact person for the reservation.
- Market Segment: Specify up to three market segments.
- Source: Select the reservation source (e.g., Website, Walk-in).
- Booking No: Add the booking number for reference.
- Promo Code: Apply a promo code if applicable.
- Click Save to finalize the reservation.
Cancel or Move Reservations #
- Cancel Reservation: Use this option to cancel a reservation.
- Move Reservation: Reassign the reservation to a different date or room.
Assigning or Changing Rooms #
- Assign Room: Assign a room to a guest who does not have one yet.
- Un Assign Room: Remove an assigned room from a reservation
